Koloku is operated by Ki Fung Lau, doing business as Logiciel Koloku (NEQ 2282691460).
Ki Fung Lau, doing business as Logiciel Koloku ("we", "our", or "us"), operates the student attendance management platform Koloku.
For each center, Koloku stores the information the center enters or that using Koloku creates:
If a center uses the Staff scheduling feature, we also store the names, contact details (email, phone), availability, work shifts and time-clock check-in/check-out times of that center's staff, as entered by the center or recorded when staff scan their badge. Staff information is used only to display the center's schedule, record and report staff working hours for the center, and email staff members their own shifts; it is never used for marketing and never shared with other centers or third parties.
Data is used exclusively for attendance tracking and sending automated SMS/email alerts. Message frequency varies based on daily student attendance. Message and data rates may apply.
When needed to provide support or fix a problem, Koloku may view your account in read-only mode. Each access is time-limited and logged.
For information about students, parents and staff, the center is the organization responsible for it; Koloku stores and processes it only on the center's behalf, to provide the service. Requests from families or staff about this information go to the center first, and we help the center answer them. Staff information is permanently deleted when the center deletes that staff member or closes its account.
Information about children is entered by their center, which is responsible for obtaining a parent's or guardian's consent. Koloku does not collect information directly from children.
If a center offers Koloku Parent, a parent can link a phone by confirming an email address the center has on file, or with a one-time code from the center. We then store the parent's email address, the phone's alert address and keys (provided by the phone's browser), the type of device, which children are linked, the parent's alert choices, and the date of the last alert. Alerts contain the child's first name, the center's name and the time. They are delivered through the phone maker's push service (Apple, Google or Mozilla) in encrypted form, so that service cannot read them. A cookie keeps the phone linked for up to two years. Parents can turn alerts off or remove the phone at any time in the app, and the center can remove a phone too. This information is deleted when the phone is removed, when the push service reports the phone no longer exists, or when the center's account is deleted. It is never used for marketing.
Depending on what the center offers, a parent can also report an absence (with an optional note) or ask for a schedule change from the app. These go to the center: the note and the request appear in the center's attendance records and schedule, and the center's answer is sent to the parent's phone. We recommend not including health details beyond what the center needs. The app also shows the child's schedule, their visits from the last 30 days, the center's contact information, and messages the center sent, which can be read again for 180 days. It may also show short notes about new app features, without sending an alert.
We keep a center's information only as long as needed:
You can also ask us to delete your account and its data at any time by writing to support@koloku.app.
Koloku's servers and service providers are located mainly in the United States, so your information may be stored or processed outside your province or country. Each provider is bound by a written agreement that requires it to protect the information and use it only to provide its service to Koloku:
We protect information with encrypted connections (HTTPS), passwords that are never stored in plain text (hashed), strict separation of each center's data, protection against forged requests, and read-only support access that is time-limited and logged. If an incident affects a center's information, we notify that center promptly and help it notify the people concerned.
Koloku only uses functional cookies that the site needs to work: your sign-in session, your language choice, your email address if you tick "Remember my email", a referral cookie, and the Koloku Parent cookie that keeps a phone linked. When you open a referral link, the referring centre's code is kept for 30 days so that you and that centre receive the referral credit if you sign up; it is deleted as soon as you sign up. We do not use advertising or tracking cookies.
We do not share, sell, rent, or trade your mobile phone number or messaging consent data to any third parties or affiliates for marketing or promotional purposes under any circumstances.
All categories above exclude text messaging originator opt-in data and consent; this information will never be shared with any third parties.
We maintain a single, clearly labeled privacy policy, linked from the opt-in page at koloku.app/privacy. The policy states mobile numbers are not shared, includes message frequency, and includes "message and data rates may apply."
Please review our Terms & Conditions for full program details.
